Yebhi.com is an online clothing store which has warehouses across the country.

Their main problem is order processing. The company is not sure if the order is being processed properly. They’re not sure if there is inventory available for the order the customer has placed, or the payment has been received so that the order can be shipped.

Goals:

In this case, we will be building a system which would help them, view the order, check their inventory, process the payment, and make sure that the order has been delivered to the customer.

Identifying and describing the stakeholders:

The stakeholders in this case are the customers and the employees.

User needs:

The Customer will have an account through which they can view the inventory, place an order, view the status of their order, check the delivery status of their order.

The Company Associate will have an account through which he can view the customer’s order, available inventory, billing mode, and delivery status of any order.

The Finance Team can only view the billing system. Through this they can view the mode of payment of the order, and the status of the payment.

The Delivery Agent will have access to the delivery system to check the delivery status of the order.

Target markets:

The targeted market here are the busy people who won’t have time to shop by going to the store.

User environments and platforms:

The user environment is easy. The system will have a user friendly interface through which they can see the available inventory and place an order. All the order and inventory management will be done in a server.

Purpose

The purpose of this document is to focus on enhancement of the business of Yebhi.com. The company has been facing issues with the online ordering system. The company is not sure of the resources available, or the products available which are ordered by the customers. The goal is to design a system that would enhance the business of the company, along with giving them a clear picture of the availability of the resources (Al-Qeisi et al., 2014). The system to be designed would help Yebhi.com to view the orders placed the customers, along with checking the availability of the products. The process of payment would also be enhanced with the newly designed system (Bakker, 2015).

Scope

This document is associated with the designing of the web-based online ordering system. The online system is to be developed in such a way that the users find it easy to use the online system. Moreover, the customers, along with the employees, the billing agent and the delivery agents need to have a good experience while using the online system.

Stakeholders

The stakeholders of this online system are the customers and the employees of Yebhi.com (Lewis, 2015).

Used cases

Used case 1: Customer placing an order

Actor: Customer

Pre-condition: The customer needs to have a valid login id and password

1. The customer logs in using their valid id and password

 
 

The customer is successfully logged in and the system redirects the customer to the home page, where the customers can check their previous orders, check delivery status, and also view the availability of the products they have ordered (Lian & Yen, 2014).

2. The customers select the products of their choice.

 
 

The system adds the item to the customer’s shopping cart.

3. The customer clicks on checkout button.

 
 

The system redirects the customer to the checkout page, where the customer confirms his mode of payment.

4. The customer selects any of the ways of payment, among the given two options either by cash on delivery or online payment modes such as debit card, credit cards and paytm.

 
 

If the selected option is online payment mode, then the system would redirect the customer to the payment gateway.

 

An automated email is send to the customer, as a confirmation of his order along with the estimated time of delivery.

5. Customer logs out of the account

 
 

The system redirects the user to the login page.

1. If a new user wishes to place an order, they need to sign up, as new users.

 
 

The system will redirect the new user to the sign up page, where the user has to fill in his details, such as the first name, last name, address for billing and the contact number. An email is send to the customer.

After the registration is done the customer receives an email as a verification email. The customer clicks on the verification link and signs in.

 
 

The system will redirect the customer to the home page.

The customer continues shopping.

 
 

The system redirects the customer to the page in which they desire.


Assumptions: It is assumed that the person using the online portal is authorized to use debit/credit card.

Used case 2: Company associate viewing customer’s orders and billing

Actor: Company Associate

Pre-condition: The employee login credentials are known and the presence of the employee at the workplace is necessary.

1. Company associate logs in into his account as an employee using his credentials.

 
 

The system redirects to the login page where the company associate can view and update the inventories, according to the orders placed and availability of the products.

2. The company associate selects the products to be updated.

 
 

The system updates its product listing, as the associate updates the product list.

3. The associate logs off after the work has been done.

 
 

The system logs the current user off and the login page is displayed again.

An automated message is send to the manager of the employee who has forgotten his credentials.

Used case 3: Billing

Actor: Finance team

Pre-condition: None

System response

1. The employee of the accounting team will log into the respective employee account.

 
 

The system redirects the employee to the page where he can view the payment records of the customers. The payments that are already made by using debit card or credit card. Moreover, the customers who have opted for cash on delivery payment mode are also included. The statuses of the payment are also viewed (Pappas et al. 2014).

The employee updates the information of the payment of the customers who paid cash on delivery.

 
 

The system updates its records and sends an automated message to the logistics team (Richey & Klein, 2014).

The system is logged out and the login page is displayed, for a different user to login.

Used case 4: Delivery

Actor: Delivery agent

Pre-condition: The order needs to be processed by the respective department of Yebhi.com such that the delivery department can schedule the process of delivery.

1. The delivery agents log into their respective portal with their respective credentials.

 
 

The system will redirect the delivery agent to the home page, where he is able to view the available delivery schedules as well as the product pickups (Trevinal & Stenger, 2014).

2. The delivery agents select the option of product pick up.

 
 

The system would ask the user to pick a delivery truck which is nearest to the pickup location, by using the zip code and the GPS, which updates its system in real time (Van Hove, 2016).

3. The delivery agent logs off the account.

 
 

The system logs him off, and the login page is displayed (Wang et al. 2017).


The alternate flowchart and the assumptions are same as the used case of the Billing.

Target markets

The target markets here are the person who prefer online shopping and does not take the pain to visit the physical shops (Wasson, 2015).

User environment and platforms

The system needs to be user friendly. The ease of use of the system has to be considered. The website interface and design needs to be user friendly as well. The billing and the inventory management is done in the server.

Use case model

The actors are the customers, the company associates, the billing team and the delivery agents.

The roles of each of the actors are as follows:

Customer: The customers are able to access the online website using their login id and passwords. They are able to access all the products available and place their orders according to the availability of the products.

Company Associate: These are the employees of the company Yebhi.com and are able to access the list of inventories, the availability of the placed orders. The company associates are also able to check the modes of payment of the customers.

Finance team: The finance teams are able to access the billing details of the customers.

Delivery agent: The delivery agents are able to access the delivery and billing system of the customers, and deliver the products according to the mentioned date of delivery.
